Table Pricing

Each vendor space includes an 8-foot table.

1 table — $45
2 tables — $75
3 tables — $105
Each additional table beyond three — $30

Vendors requesting more than three tables must enter the total number of tables requested on the registration form. Additional tables are subject to availability.

Submitting a vendor application does not guarantee a space. Your reservation is confirmed only after your application has been accepted and full payment has been received.

Vendor Sign-up

Setup and Check-In

Vendor setup begins at 8:30 AM.

The show opens to the public at 10:00 AM, so vendors should make

every effort to be unloaded, parked, and ready for customers before

opening.

There is no formal late-arrival cutoff. However, a vendor who

arrives more than two hours after setup begins, —after 10:30 AM

will forfeit priority for a space at the next show.

Please check in with event staff before beginning setup. Tables will be assigned in advance, and vendors must use the space assigned to them.

Unloading and Parking

Vendors may unload through the front or side doors.

After unloading, all vendor vehicles must be moved toward the back of the parking lot so that the spaces closest to the venue remain available for customers.

Vehicles may not be left in fire lanes, loading areas, customer entrances, or other restricted areas. Please move your vehicle promptly after unloading.

Show Hours and Tear-Down

The Wabash Valley TCG Expo is open to the public from:

10:00 AM–4:00 PM

Vendors are expected to remain fully set up until the show closes at 4:00 PM. Early packing or departure is not permitted unless approved by event staff.

Tear-down begins after the show closes. All vendors must be packed, cleaned up, and out of the venue by 6:00 PM.

Vendors are responsible for removing all merchandise, displays, boxes, trash, and personal belongings from their assigned area.

Payment Information

Accepted payment methods include:

  • Cash

  • Venmo

  • PayPal

  • Credit or debit card

Applicable tax will be added to card payments.

A vendor space is not reserved until full payment has been received. A completed registration form, text message, verbal request, or previous attendance does not reserve a space without payment.

Cancellations and No-Shows

Vendors who are unable to attend should contact Low Key Collectibles as soon as possible.

No refunds will be issued to vendors who fail to attend without calling or otherwise contacting Low Key Collectibles in advance.

Repeated late arrivals, cancellations, or no-call/no-shows may affect eligibility for future shows.

Transferring a Vendor Space

A registered vendor may arrange for another dealer to use their space, but the replacement dealer must be approved by Low Key Collectibles before the show.

Vendor spaces may not be sold, transferred, or given to another dealer without prior approval. The original vendor remains responsible for making sure the replacement dealer receives and follows all event rules.

Reserving Your Space for the Next Show

Current vendors will have the first opportunity to reserve a space for the next Wabash Valley TCG Expo.

Payment for the next show will be collected during the current show. Vendors must pay before leaving if they want their space held for the next event.

A verbal request does not reserve a space. Vendors who do not pay during the prior show will have their space released and will be placed back on the vendor waitlist.

Once a space has been released, availability for the next show is not guaranteed.

Table Assignments

Specific table locations are not guaranteed and may change based on the venue layout, number of vendors, safety requirements, and the needs of the event.

Guaranteed table placement is available only as part of an approved event sponsorship agreement.

Paying early reserves the vendor’s approved number of tables, but does not guarantee the same location at every show.

Vendor Merchandise Rules

The Wabash Valley TCG Expo is a trading-card-game event. Vendors may carry Pokémon, One Piece, Magic: The Gathering, Yu-Gi-Oh!, Lorcana, and other trading-card-game products.

Sports cards are not permitted.

Vendors must follow these rules:

  • Merchandise and displays must remain within the assigned vendor space.

  • Walkways, entrances, exits, and neighboring vendor spaces must remain clear.

  • Vendors may not add unregistered tables, racks, displays, or selling areas.

  • Counterfeit, stolen, bootleg, or knowingly misrepresented merchandise is prohibited.

  • Vendors are responsible for accurately representing the authenticity and condition of their merchandise.

  • Vendors are responsible for supervising their inventory, money, displays, and personal belongings.

  • Children accompanying vendors must remain supervised.

  • Loud music, disruptive behavior, aggressive sales tactics, or unsafe displays are not permitted.

  • Vendors must treat customers, other vendors, venue employees, and event staff respectfully.

  • Food and drinks should be kept away from customer traffic areas and other vendors’ merchandise.

  • Vendors are responsible for collecting and reporting any taxes that apply to their sales.

  • Event staff may require the removal of merchandise or displays that violate event rules, create a safety concern, or do not fit the TCG-only nature of the show.

Failure to follow event rules may result in removal from the event without a refund and may affect eligibility for future shows.
